The Overview tab on Contacts and Organizations contains information about the contact or the organization, including a timeline of recent activity and a place to display notes as well as information about calls, emails, meetings, and related tasks.

The Overview tab also shows a record of overall giving activity for the contact or the organization.

 

The Timeline

The Timeline shows the most recent activity on a contact record, including transactions. To see details about any of the entries, click on the entry.


 

! You cannot make new entries directly into the Timeline.

 

Notes

Click on the Notes tab to see the notes associated with the contact or the organization.


 

To create a note enter the desired information into the “Notes” field. Click on the “Add” button to save your entry.

 

A sticky note will create an entry that will be visible on the top of the Contact page, near the name of the contact.  Use this field to publish important information that anyone who looks at this record should be immediately aware of.


To edit an existing note click on the  (Quick Edit) icon.  

Click on “Save” to save your changes.

 

Emails

The Emails tab contains information about emails that have been sent to the contact. Several different types of emails can be recorded here:

  • Emails sent to the contact from within the Big River system, including confirmation emails for transactions as well as emails that you can send directly from within the contact record
  • Logs of emails that were sent to the contact from a regular email system

 

! The Emails tab is not present on the Organizations tab.

 

To send an email from within the Big River system click on the “Send Email” button to open the form. Your name and email address will be entered automatically along with the name and email address of the contact.

Enter your message in the “Message” field, and then click on “Send” to send your email.

 

! If you want to receive a record of the email in your regular email system, be sure to enter your email address into the CC field of the message you are sending.

 

To create a log of an email sent or received in another system click on the “Log Email” button to open the form. Your name and email address will be automatically entered along with the name and email address of the contact.


 

Enter your information into the “Message” field, and then click on “Create” to save your information.

 

! When you send an email or create a log entry of an email you can also assign the entry to an Opportunity. To do this click on “Create New Opportunity” or you can “Select Existing.”

To edit an existing email entry click on the  (Quick Edit) icon.  


Click on “Save” to save your changes.

 

Calls

The Calls tab contains information about calls that have been made to or received from the contact.


 

! The Calls tab is not present on the Organizations tab.

 

To create a log of a call to or from a contact click on the “Log Call” button to open the form. Your name and the name of the contact will be entered automatically.


 

Enter the date, start and end times of the call, the subject of the call, and your notes. Click “Create” to save your information.

To edit an existing call click on the  (Quick Edit) icon.  


Click on “Save” to save your changes.

 

! When you create a log entry of a call you can also assign the entry to an Opportunity. To do this click on “Create New Opportunity” or you can “Select Existing.”

 

Meetings

The Meetings tab contains information about meetings with the contact.  You can schedule a meeting from within Big River and send the details to the contact. Or you can log the details of a meeting with the contact.


 

 

! The Meetings tab is not present on the Organizations tab.

 

To schedule a meeting from within the Big River system click on the “Schedule Meeting” button to open the form. Your name will be entered automatically along with the name and email address of the contact.  Enter the date, start and end times of the meeting, the subject of the meeting and any notes.


 

Click on “Create” to create your meeting and send an email notice to yourself and the contact.

 

! When you schedule a meeting from within Big River you can invite other attendees by “Select Existing” contacts. You can also “Create New Contacts” if necessary.

 

To create a log of a meeting click on the “Log Meeting” button to open the form. Your name will be entered automatically along with the name and email address of the contact.


 

Enter your information into the “Notes” field, and then click on “Create” to save your information.

To edit an existing meeting record click on the  (Quick Edit) icon.

 

Click on “Save” to save your changes.

Tasks

The Tasks tab contains information about tasks associated with the contact or the organization.


To create a task click on “Create New Task.”  Enter the task subject, the due date, any notes, and select the type of task from the drop-down field – To-Do, Call, Meeting, or Email. Also be sure to enter the date you would like to receive an email reminder of your task. Click “Create” to create your task.


 

! When you create a task you can also assign the entry to an Opportunity. To do this click on “Create New Opportunity” or you can “Select Existing.”

To edit an existing task click on the  (Quick Edit) icon.  


Click on “Save” to save your changes.

 

! Tasks may also be edited from the Opportunities menuitem in the gray menubar, under the Tasks tab.
